Information you choose to share
The volunteer interest form asks for your name, email, phone, town/state, interests and availability, with optional skills and a message. The enquiry form asks for your name, email, enquiry topic and message, with an optional phone number. We do not ask for identity numbers, passports, bank passwords or medical records in these forms.
How we use information
We use submitted details to reply, assess and coordinate volunteer interest, discuss contributions or support requests, and handle privacy matters. The form consent relates to that conversation; it is not a marketing subscription. You can use WhatsApp or email instead of a website form. Leaving out required information may prevent us from responding or coordinating a request.
Donations and payment proof
Bank transfers and DuitNow QR payments take place in your own banking application. This website does not process card payments or collect banking login details. If you send payment proof by WhatsApp or email, share only what is needed for acknowledgement and hide unrelated balances, transactions and personal details. Acknowledgements are handled manually.
Access and service providers
Enquiries are handled by authorised True Hope personnel and relevant volunteers where needed for coordination. Hosting, email, banking and messaging providers process information through their own systems. Information may also be disclosed where lawfully required. We do not sell your personal information. External services may process data outside Malaysia; review their privacy notices when using them.
Website forms, cookies and technical data
Website forms use an essential, temporary session cookie to protect submissions. The form endpoint emails submitted details to True Hope and does not create a public submission file or website database record. A daily hashed IP-derived key and submission timestamps are temporarily kept outside the web root for abuse prevention and cleaned up automatically. Hosting and email systems may keep their own security and delivery logs. This rebuild does not include advertising trackers or analytics scripts.
Photographs, stories and children
Activity photographs are provided as organisational records with permission confirmed by True Hope. We aim to present people respectfully and avoid publishing unnecessary identifying details. If an image concerns you or a child in your care, contact us with the page link. Children should ask a parent or guardian to contact us about participation; please do not send sensitive information about a child through these forms.
Retention and security
We aim to keep information only for as long as reasonably needed for the enquiry, coordination, acknowledgement and applicable record-keeping duties, then delete or anonymise it when no longer needed. Retention depends on the purpose and legal requirements rather than a single universal period. Access controls and technical safeguards reduce risk, but no online or email service can guarantee absolute security. Please avoid sending unnecessary sensitive information.
Your choices and requests
You may ask about access to your information, corrections, withdrawal of consent or deletion where appropriate and subject to applicable requirements. We may need proportionate information to confirm a request, but please do not send identity documents unless we explain why they are necessary. Withdrawing consent may limit our ability to continue a particular coordination task. Contact us if you have a privacy concern or complaint.
